Is this the right printer for you?

Who the Ricoh fi-8190 is actually for

Most printer pages just tell you what a printer does. Here's the honest version: when this machine is the right choice, when it's fine, and when you should look at something else. We sell a lot of these for a reason, but the reason is not "every office."

Best fit

Pick this if...

  • You scan 2,000-10,000 pages a day in a workgroup of 10-25 people and don't need a flatbed.
  • You want the fastest letter-size desktop scanner Ricoh sells — 90 ppm / 180 ipm, faster than every Brother, Epson, or Canon ADS desktop in the same price band.
  • You scan stacks of mixed-thickness paper — onion skin to card stock to plastic ID — and want the iSOP paper protection that comes from production-class feed mechanics.
  • You're replacing an fi-7180 — direct successor with 90 ppm vs 80, plus the new exit stacker that handles 200 sheets without re-jogging.
  • You need both USB and Gigabit Ethernet so the scanner can move between a desktop PC and a small workgroup over the network.
Works fine

You'll be happy if...

  • You scan 500-2,000 pages a day — overbuilt for that, but the feed reliability earns out over a 5-year lease.
  • You want PC-less network scanning — works with PaperStream NX Manager add-on, otherwise this ships PC-tethered.
  • You scan plastic ID cards through the ADF — supported up to 1.4 mm but use the dedicated card slot, not stacked with paper.
Look elsewhere

Skip this if...

  • You need a flatbed for books, fragile originals, or stapled docs — get the fi-8290 (same chassis with letter flatbed) or fi-8270.
  • You scan A3 / 11x17 — max width is 8.5 inches; step to fi-8820 or fi-7460.
  • You scan more than 13,000 pages a day — past recommended duty cycle, move to the fi-8820.
  • You want a touchscreen and badge release out of the box — no display on this model; look at the fi-7300NX.
  • You're scanning at home and budget matters — the fi-8170 is 70 ppm and ~30% cheaper for the same image quality.
Full specifications

Every spec, no guessing

The Ricoh fi-8190 is the fastest letter-size desktop document scanner Ricoh sells — 90 pages per minute / 180 images per minute in color at 200/300 dpi, single-pass duplex, with a 100-sheet ADF and a 13,000-sheet daily duty cycle. Built for workgroups of 10-25 people scanning 2,000-10,000 pages a day in records, AP, intake, or back-office digitization. Optical resolution is 600 dpi. The fi-8190 is a direct successor to the fi-7180, picking up Ricoh's iSOP (Intelligent Sonic Paper Protection) feed mechanics from the production fi-7600/7800 line and the redesigned exit stacker that holds 200 sheets without re-jogging. Image processing is PaperStream IP — auto-crop, deskew, blank-page deletion, color drop-out, hole punch removal, and Card Stitching for both sides of an ID. Document handling supports paper from 5.3 to 124 lb and plastic cards up to 1.4 mm. Connectivity is USB 3.2 Gen 1 plus Gigabit Ethernet. Default ship is PC-tethered via PaperStream Capture; for badge release and PC-less workflow you add PaperStream NX Manager separately. The thing buyers regret: not buying the fi-8290 instead. If your office ever needs to scan a passport, a stapled contract, or a torn original, the $400-$600 flatbed upcharge pays for itself the first month.

Supplies & consumables

Toner, yields, and what to actually reorder

The #1 question we get on this printer is "which toner do I buy?" Short answer: you have two cartridge options and a drum. Standard yield TN830 covers roughly 1,200 pages. High yield TN830XL covers roughly 4,500 pages and is the better value for most offices. Pick XL unless you print very little.

The drum unit (DR810) is separate and usually lasts 15,000 to 30,000 pages before it needs replacing. At a typical small office volume, expect to change it once every 2 to 4 years.

If you lease this printer through us, toner and drum are included. You never pay for supplies separately. That's usually the better deal once you add up real costs over 3 years.

What customers actually say

The 5-star consensus: "it just works"

Small sample size, high signal. The 3 verified reviewers picked this model to replace older inkjets or aging Ricoh machines. Common threads in the feedback:

  • "Been using the fi-8190 in our accounting office for about 8 months now. The dual-sided scanning is fast and the image quality is consistently good, which saves us time on follow-up rescans. The ADF holds a decent stack so we're not babysitting it constantly."
  • "Our small law firm needed something reliable for document digitization and this handles our volume without breaking a sweat. Driver setup was straightforward and the included software integrates well with our existing systems."
  • "Good scanner overall, fast processing and the build quality feels solid. My only complaint is the software interface could be more intuitive, took me a bit to figure out some of the settings, but once configured it runs fine."

FAQ

Ricoh fi-8190, common questions

The questions we get asked most often on this model. If yours isn't here, call (704) 741-0821 and get an answer in about 30 seconds.

The Ricoh fi-8190 is a high-performance document scanner, not a printer, so it does not use toner or ink cartridges. Instead, it utilizes maintenance roller kits for high-volume scanning. For toner-related needs, consider a Ricoh printer model. When you lease a printer through us with toner included, you never pay for toner separately.
The Ricoh fi-8190 scans at 90 ppm / 180 ipm, while the fi-8170 scans at 70 ppm / 140 ipm. The fi-8190 has a higher daily duty cycle (13,000 sheets vs. 10,000 sheets) and includes advanced features like iSOP paper protection and a redesigned exit stacker. The fi-8170 offers broader document handling, including embossed cards and long pages up to 218 inches. For small offices needing speed and reliability, the fi-8190 is the better choice.
The Ricoh fi-8190 is ideal for small businesses with high-volume scanning needs, handling 2,000-10,000 pages daily at 90 ppm. Its advanced features like iSOP paper protection and PaperStream IP image processing make it suitable for workgroups of 10-25 people. However, if your business requires printing, consider a commercial printer lease.
The Ricoh fi-8190 is a document scanner and does not have printing capabilities, whether in color or monochrome. For color printing needs, consider Ricoh printer models like the Ricoh MP C307 or Ricoh MP C4504. These models offer color printing and are available for lease.
